How to Set Up an Automation in Loop & Tie

With Automated Gifting, you can now celebrate birthdays, workiversaries, and more—without the manual lift. This guide will walk you through setting up your first automation, using your contact data and lists to make gifting effortless and timely.

What Is an Automation?

Automations let you create gifting workflows that are triggered by key moments like:

  • Birthdays

  • Start dates

  • Work anniversaries

  • Custom dates (like onboarding milestones or team celebrations)

Once set up, gifts will be automatically sent based on your chosen rules—no reminders or calendar alerts required.


 Before You Start: Set Up Contacts & Create your Lists

Automations rely on accurate contact data. You’ll first need to:

  1. Upload your contacts
    Go to the Contacts Hub and upload a CSV file, or add contacts one at a time. Make sure to include important fields like:

    • Name

    • Email

    • Relevant date(s) (e.g. birthday, start date)

  2. Or connect your HRIS
    On Premium and Enterprise plans, you can connect your HRIS platform to automatically sync employee data.

  3. Create a list (optional but recommended)
    Organize your contacts into lists—for example:

    • “Q3 New Hires”

    • “Team Birthdays”

    • “Remote Employees”

    This makes it easier to assign automations to specific groups.


🛠 How to Set Up an Automation

  1. Navigate to Automations
    Log into your dashboard and click on Automations in the left-hand menu.

  2. Click “Create New Automation”
    Choose from templates (like Birthday or Start Date) or build a custom one from scratch.

  3. Choose a Trigger
    Select the event that will start your automation:

    • Birthday

    • Work Anniversary

  4. Select Your Audience
    Choose the contacts or list(s) this automation will apply to.

  5. Select Their Location
    Choose the location - U.S.-based or non-U.S.-based - of your gift recipients. If you don't know their location, opt for "International." 
  6. Choose a Gift Template
    Select the gift experience you want your recipients to receive.
  7. Review & Launch
    Double-check your rules and click Activate Automation. You’re done!


📬 What Happens Next?

Once activated:

  • Loop & Tie will monitor your contact data for upcoming triggers. We will send you monthly reminders on the 15th of the month prior to your gift sends. In these reminders, we will tell you how many gifts are scheduled to be automated in the month ahead.

  • When the date of gift automation arrives, the recipient will receive your gift at the time specified in your automation configuration.

  • You’ll be able to track gift statuses in the "Recipient Activity" dashboard.

  • Test your automation by assigning it to yourself or a test contact before scaling

  • Update contact data regularly to ensure gifts go out on time
